Union Communications Guidelines

Please use the form below to submit your communication campaign for distribution to the Membership. Below are the items you’ll need to submit your campaign and next steps.

  • Distribution Date: We respectfully request submissions at least two (2) full business days prior to their planned distribution to plan any release. Planning ahead will ensure your information is delivered to the Membership on schedule!
  • From Name: Who is sending the campaign? This will be used on the email to the Membership and posted to the Website.
  • From Email: This will serve as the “reply-to” email where Members will respond if they request additional information. If your campaign is sent from a Committee, the reply-to email will be the Committee email address. If your campaign is being sent from an individual, the reply-to email will go to that email address. If you wish to use a different email address please contact the Communications Committee and/or notate in the comments field prior to submitting your request.
  • Subject Line: Short, simple, and to the point! One of the most opened emails ever had the simple subject line: “Hey.”
  • File Upload: First, ensure your writing conforms to the TWU Local 556 Elements of Style (PDF). Second, use the space provided to upload your files. Send us a fully edited word document, images, pdf, small video, or other medium you’d like to use. Do not share your Google Doc with us!
  • Comments / Questions: Let us know who the campaign is being distributed to. Also, use this field to briefly describe any special requests.

After submission, you’ll receive an email receipt confirming your submission. We’ll be in touch over the next two (2) business days to provide a proof for your review and approval. Keep an eye on your email!

Can this be sent today or first thing tomorrow?
Generally, no. Please allow up to 2-3 full business days for distribution to the Membership. The Communications Committee works through various submissions to prioritize sending and posting to ensure items are timely. Additionally, as you know, this industry changes daily, and urgent news may delay non-emergent communications. For same-day sending of urgent material, please contact the Communications Committee directly.
